Plain words about what we collect, why, and how your stories stay yours. Effective October 23, 2026.
The short version
Your stories, interview answers, recordings and scripts belong to you. We collect only what Fieldnote needs to work, we use it only to run Fieldnote for you, we never sell it, and we never use your stories to train AI models for anyone else.
Who we are
Fieldnote is built and operated by Huntley Studio, an independent creative studio in Los Angeles, California ("we", "us"). This policy covers the Fieldnote web application at fieldnote.huntleystudio.com and any future domain it moves to.
What we collect
Account information: your name, email address and password (passwords are stored only as secure hashes).
Your brand work: your answers to the brand interview, your stories and story sessions, your scripts, quote marks, tags and red pen notes.
Voice and audio: voice recordings you record in the app or upload to your story bank, and any voice memos you text to your Fieldnote number, along with their word-for-word transcriptions.
Your voice library: writing samples, tone of voice guides and background documents you paste, upload or link.
Settings: your plan, preferences such as read aloud, and your linked phone number if you use text-in voice memos.
Billing: we never see or store your full card details. Payments are handled by Stripe, which shares with us only your subscription status, plan and billing email.
How we use it
To run the product: analyze your stories against the five story elements, generate follow-up questions, write scripts in your voice, and save everything to your account so it is there when you come back.
To handle your subscription: start trials, bill through Stripe, let you upgrade, downgrade or cancel.
To text with you: if you link a phone number, we send your story follow-up questions and confirmations to that number.
To support you: answer questions you send us and fix problems you report.
We do not use your content for advertising, and we do not sell your personal information, ever.
Who else touches your data
We use a small number of service providers to run Fieldnote: a cloud database and authentication provider to store your account and stories, AI providers to analyze stories and write scripts, a transcription provider to turn audio into text, Twilio to send and receive your text messages, and Stripe to process payments.
Each provider processes your data only to deliver its piece of the service, under contracts that restrict them from using it for their own purposes. Your stories are sent to AI providers as prompts so Fieldnote can write for you; they are not used to train models for other customers or the public.
We may also disclose information if the law requires it (for example, a valid court order), and only the minimum needed.
Your words stay yours
You own everything you say, record, upload and write in Fieldnote, and you own the scripts we generate for you. You can export them, copy them, download them or take them to another tool at any time.
Text-in voice memos
When you link a phone number, voice memos you text in are transcribed word for word and filed in your story bank. Your phone number is stored only to recognize your texts. If you ever want to unlink it, you can do that in your account settings, or text STOP to your Fieldnote number.
Mobile phone numbers and SMS opt-in information are not sold or shared with third parties or affiliates for marketing or promotional purposes. Messaging providers process them only to operate the service.
How long we keep things
Your content is kept while your account is active. You can delete individual stories or your whole account at any time; when you do, the content is removed from our active database, and backups age out within 30 days. We keep basic billing records as long as tax and accounting law requires.
Security
Your account is protected by hashed passwords and secure sessions. Data is encrypted in transit. No system is perfectly safe, but we treat your words like the private material they are.
Children
Fieldnote is not for children under 13, and you must be at least 18 to purchase a subscription. If we learn a child under 13 has created an account, we will delete it.
Your privacy rights
Depending on where you live, including California, you may have the right to know what personal information we hold, to correct it, to delete it, and to take your data with you. California residents: we do not sell or share personal information for cross-context behavioral advertising, so there is nothing to opt out of. To use any of these rights, contact us and we will respond within the window the law requires.
Changes to this policy
If this policy changes in a meaningful way, we will tell you in the app before the change takes effect.
